1. What this policy covers

This policy explains how we handle information when you contact Utsavgiri on WhatsApp at +91 63796 20804, by email, or by phone, about our transformers, inductors and related services.

2. Information we collect

• Your WhatsApp profile name and phone number.
• Messages, files (for example RFQs, drawings, photos) and voice notes you send us.
• Details you give us: name, company, designation, email, address, and your requirement.
• Call records of WhatsApp calls (time and duration; calls are not recorded).

3. How we use it

• To answer your enquiry, prepare quotations, process orders and deliveries, and arrange meetings.
• To keep a record of our business communication with you.
• An automated assistant may reply to first-time enquiries to collect your details and arrange a call. It does not quote prices or commit to delivery; our team does that.

4. Who can see it

Only authorised Utsavgiri staff. We use these service providers to run the service: Meta (WhatsApp Business Platform), Slack (internal team workspace), Google (email, contacts, calendar and storage), and Anthropic (AI assistant for first replies). We do not sell or rent your information and we do not use it for third-party advertising.

5. Storage and retention

Conversations are stored in our company systems and archived in our company Google Drive for our business records, for as long as needed for business, legal and tax purposes.

6. Your choices

You can ask us to stop messaging you at any time by replying STOP, and you can ask to see, correct or delete your information by writing to utsavgiri@gmail.com. We will respond within 30 days, subject to records we must keep by law.

7. Security

Access is limited to authorised staff, and credentials are kept on our own server, not on staff phones.

8. Changes

We may update this policy; the latest version is always at this address.
